Scheduling Removals, Pruning and Stump Grinding Without Double-Booking
Tree scheduling is harder than it looks from the outside. A removal might need the climber, the bucket truck and three groundies for a full day. A prune might need one climber and one groundie for two hours. Stump grinding might be one person and one machine bouncing between six stops. PHC visits are a different person entirely.
Put all of that on one calendar without a plan and you get double-booked climbers, idle groundies and customers who were promised Tuesday.
Start With Job Size, Not Just Date
In Running a Tree Company From One Job Board, the job board gave you one view of all the work. Scheduling well on that board starts with understanding what each job takes. When the estimator records DBH, height, access and drop zone notes on the property, the scheduler can judge whether a job is a morning or a full day before assigning it.
Make job length part of the estimate notes. A simple full day, half day or two hours on the job saves the scheduler from guessing.
Also note who the job needs. A removal over a house that has to be rigged down piece by piece needs your strongest climber. A crown cleaning on a mature oak needs someone who prunes well, not just someone who cuts fast. If the estimator writes that down, the scheduler can put the right people on the right job instead of whoever is free.
Be honest about estimates of time. Scheduling a full-day removal as a half day doesn't make it shorter; it just makes the afternoon customer wait.
Schedule by Category
Job categories exist for a reason. Removals tend to be big, weather-sensitive and crew-heavy. Trimming and Pruning is more flexible and fills around removals. Stump Grinding is its own route, usually with its own machine and operator. Plant Health Care visits go to licensed applicators on their own schedule. Consults and estimates fit in gaps.
In TreeBossPro each job carries its category, so the board shows the mix at a glance. A useful pattern: anchor the week with the big removals, then fill around them with pruning on the same side of town, and run stump grinding and PHC as separate routes.
Avoid Double-Booking People and Equipment
Double-booking usually happens because two people schedule from two places. One schedule fixes most of it. When every job is on the same board and assigned to a crew, it's obvious when a crew already has a full day.
Equipment is trickier. If you only have one bucket truck, the jobs that need it can't happen on the same day. Use crew assignments that reflect your equipment — a bucket crew and a climbing crew, for example — so the board reflects what's actually possible. Note equipment needs in the job notes so the scheduler sees them.
Keep Stump Grinding From Falling Off
Stump grinding is the classic forgotten job. The removal gets done, everyone's happy, and the stump sits there for two months while the customer gets more annoyed. Schedule the grinding as its own job when the removal is approved, not when someone remembers.
Grouping stump grinding by area makes it efficient. One operator with a machine can clear a lot of stumps in a day if they're on the same route.
Plan for Weather and Storms
Tree work is weather work. Wind, rain and ice cancel removals and create emergency calls at the same time. Leave some slack in the week, especially in storm season, so a lost day doesn't push everything back a week. Flexible pruning customers are your shock absorber: they're the easiest jobs to slide when a removal has to move.
When weather hits, move jobs on the board, and let automated texts tell customers about the new date. Storm and Emergency work gets its own category so it's visible and doesn't silently push out paying customers who were already waiting.
Confirm With the Customer
A schedule is only good if the customer is home — or at least knows you're coming — the cars are moved out of the drop zone and the gate is open. Automated reminders before the visit, and on-the-way and arrival alerts from the crew app on the day, keep customers in the loop without office phone calls.
Good scheduling is the part of tree service software customers notice first, even if they never see the board. The next article takes on the job most often forgotten: stump grinding after a removal.
