Running a Tree Company From One Job Board

Walk into almost any tree company shop at six in the morning and you'll find the same thing: a group of guys standing around a whiteboard, coffee in hand, figuring out who is going where. The whiteboard is the real schedule. It also has no history, no notes, no addresses that link to a map and no way to see it from a truck.

A job board does the same job as the whiteboard, without the eraser.

What the Board Replaces

In Tree Estimates With Online Approval and Automatic Follow-Up, approved estimates turned into jobs. The job board is where those jobs live until they're done. TreeBossPro gives you two ways to look at the same work: a job board that shows jobs by crew and status, and a scheduled list that shows what's coming up in order.

Between them, you get everything the whiteboard had — who, where, what — plus what it never did: the property record, notes, gate codes, the estimate, photos and the customer's contact details, one click away.

See the Shape of the Week

Tree work comes in different sizes. A full-day removal with a climber and three groundies is a different animal from a two-hour prune or a stump grinding stop. Job categories — Removals, Trimming and Pruning, Stump Grinding, Plant Health Care, Storm and Emergency, and Consults — make that visible on the board.

At a glance you can see that Thursday is heavy on removals, that the stump grinder has a full list, that PHC visits are spread across the week and that there's a consult hole Friday afternoon. That's the kind of picture a whiteboard gives you only if somebody color-codes it perfectly every week.

Assign Jobs to Crews

Each job gets a crew. When a crew's day is full, it's obvious on the board. When the bucket truck goes into the shop, you can see exactly which jobs are affected and move them to another crew or another day.

Moving a job on the board moves it in the crew app too. The crew sees the change on their phone, with the right notes and route. Nobody has to call around to explain that Tuesday's list changed.

Think about how you set up crews in the system. If you run a removal crew with the bucket truck, a climbing crew for pruning, a stump grinder and a PHC applicator, set them up that way. The board then reflects how work actually gets done, and it's easy to spot when a job landed on a crew without the right equipment or license.

Keep the assignment simple. One job, one crew. If two crews team up on a big removal, assign the job to the lead crew and note the support in the job notes, so the board doesn't show the same work twice.

Keep Open Work Visible

The whiteboard only shows what's scheduled. The board also shows what's sold but not scheduled yet: approved estimates waiting for a date, stump grinding that follows a removal, recurring pruning coming due. That's the work that gets forgotten on paper.

Make it a habit to look at unscheduled work every week. If approved jobs are sitting for weeks, the schedule is too full or someone is missing them. Both are worth knowing.

The Board During the Day

The board isn't just a morning tool. As crews tap start and complete in the crew app, the office sees progress without making calls. If a removal runs long, the office can see it and let the next customer know, or shift the afternoon stop to another crew.

When an emergency call comes in, the board shows who is closest to finishing and who has room. That turns a scramble into a decision.

At the end of the day, the board tells you what actually got done. Anything not marked complete is visible, so it can be rescheduled tomorrow instead of discovered next week when the customer calls. Completed jobs are ready to invoice, which closes the loop between the field and the office.

One Source of Truth

The biggest benefit of a single board is that there's only one schedule. Not the whiteboard, the owner's notebook and the office calendar, each slightly different. Everyone — office, foreman, crew, owner — looks at the same thing.

Put the board on a screen in the shop if the morning huddle is part of your culture. The huddle stays; the eraser goes. The job board is the daily center of TreeBossPro tree service software. The next article covers how to schedule the different kinds of tree work on it without double-booking.
