Tree Estimates With Online Approval and Automatic Follow-Up
Tree estimates take real time. Somebody drives out, walks the property, looks at the tree, the target, the access and the drop zone, and works out what it will take. Then the estimate goes out — and too often, that's the last anyone hears of it.
The customer meant to answer. They wanted to ask their spouse. They got another bid and lost your number. Without follow-up, a good estimate quietly turns into nothing.
Why Tree Estimates Stall
In Tracking Tree Service Leads So No Call Goes Cold, the goal was getting from first call to site visit fast. The estimate is where that speed often gets thrown away. On paper, estimates go out late because they get written up at night. They sit in email because approving means calling back during business hours. And nobody follows up because nobody has a list of who hasn't answered.
None of those are sales problems. They are process problems, and process problems are what software is good at.
Build the Estimate From the Property Record
When the estimator fills in the property record on site — number of trees, DBH, height, crew notes about access and drop zones — most of what the estimate needs is already there. In TreeBossPro the estimate is tied to the client and property, so line items, notes and photos stay connected to where the work will happen.
Write line items the homeowner can understand. Remove one silver maple over the driveway, haul brush, leave logs in rounds by the garage is clearer than a single price with a vague description. Clear estimates get fewer phone calls and more approvals.
Price stump grinding as its own line. Customers often assume it is included; spelling it out avoids a hard conversation later and lets them choose.
Say what happens to the wood and brush. Haul everything, leave logs, chip on site — each has a different cost and homeowners have strong opinions about it. If cleanup matters to the customer, say how clean the site will be left. A photo or two from the site visit, attached to the estimate, also helps a homeowner who wasn't home when you walked the property see exactly which tree you mean.
Send the estimate the same day as the visit whenever you can. The customer is still thinking about the tree that afternoon; three days later, they are thinking about something else.
Online Approval Changes the Timing
Online approval means the customer can say yes whenever they read the estimate: at nine at night on the couch, on a lunch break, standing in the yard looking at the tree. They don't have to wait until your office is open or find the paper copy.
That shortens the time between estimate and decision, which matters in a trade where the customer is often collecting two or three bids. The first company with a clear estimate and an easy yes has a real advantage.
An approved estimate becomes a job in TreeBossPro without re-entering anything. The office sees it, schedules it and the customer gets their reminder.
Automatic Follow-Up Does the Awkward Part
Most owners hate following up on estimates. It feels pushy, and there is never time. Automatic follow-up removes both problems: the system reminds customers who haven't responded, on a schedule, without anyone having to remember.
Most people who don't answer aren't saying no. They are busy. A polite reminder that the estimate is waiting, with a link to approve it, brings a share of them back.
The follow-up should be friendly and short. Nobody wants a hard sell about a tree; they want a reminder and an easy way to say yes.
Know Which Estimates Are Waiting
Even with automatic follow-up, someone should look at open estimates every week. Big jobs deserve a personal phone call. Hazard trees deserve a second nudge, because a customer who ignored a cracked limb over the house may be grateful you called.
Reports help here: see which estimates are open, which were approved and which went nowhere. Over a season, that tells you which kinds of work you win and which you might be pricing wrong.
From Approval to the Board
The whole point of a fast estimate is a full schedule. Approved removals go on the board under Removals, with a Stump Grinding job if the customer chose it. Pruning goes under Trimming and Pruning, and might become a recurring job. Plant health care work goes into a program.
Online approval and automatic follow-up are two of the pieces that make TreeBossPro tree service software pay for itself. The next article looks at where approved work goes: running the company from one job board.
