Tracking Tree Service Leads So No Call Goes Cold
In the tree business, the phone rings when the customer is worried. A limb came down in the wind. The neighbor's arborist said the oak looks bad. The HOA sent a letter. That worry has a short shelf life. The company that calls back first, shows up when they said they would and gets an estimate out quickly usually gets the job.
Most lost tree jobs are not lost on price. They are lost because the call got written on a scrap of paper and nobody owned it.
Every Call Needs a Home
In Crew Notes for Tree Work: Access, Gate Codes and Drop Zones, the focus was on what the crew needs to know at the property. A lead is what comes before any of that: the first record that a person wants something done. If it doesn't get captured, nothing else happens.
In TreeBossPro, a lead is created the moment the call comes in, whether the office answers it, the owner takes it from a truck or it arrives from a web form. The lead holds who called, what they want and where the work is. If the caller is an existing client, the lead attaches to their property, and you already have the tree numbers and notes from before.
The rule for the company should be simple: if it isn't a lead in the system, it didn't happen. That rule alone fixes a surprising amount.
Capture the Right Details the First Time
A good first call collects enough to plan the visit without turning into an interrogation. Name, phone, email, the property address, what the customer is worried about and how urgent it is. If it is a hazard — a hanger over the driveway, a tree on a fence — note it so it gets triaged ahead of routine pruning.
Ask how they want to be contacted. Some homeowners never answer unknown numbers but reply to texts right away. Two-way texting in TreeBossPro keeps that conversation in one place instead of on whoever happened to pick up.
Ask where they heard about you. Over time that tells you whether your yard signs, referrals or website are actually bringing in work.
Assign an Owner
A lead without an owner is a lead nobody calls. Whoever schedules site visits — the owner, an estimator, the office manager — should own new leads until they turn into an estimate or get closed out. When the owner is the only estimator and is up a tree most of the day, that might mean the office books the visit and the owner just shows up.
What matters is that someone can look at the open leads and know which ones are waiting on them. Speed counts most in the first day or two, while the customer is still worried enough to act.
Move Leads to Site Visits Quickly
Most tree work can't be priced over the phone. Someone has to see the tree, the access and the drop zone. Schedule site visits like jobs, ideally grouped by area so the estimator isn't crossing town for one quote. The route map helps here: a cluster of leads on the same side of town is a half day of estimates.
When the estimator is on site, they fill in the property record — number of trees, DBH, height, notes — while they are standing there. That information feeds the estimate and stays on file whether or not the customer says yes.
Text the customer when the estimator is on the way. People who are expecting you are home, have the gate open and are ready to walk the yard.
Don't Let Leads Rot
Every company has a pile of old leads: people who called once, never got a visit, or got a visit and never got an estimate. Review open leads weekly. Either move them forward, follow up once more or close them out with a reason. A clean lead list is a list you can trust.
Closed-out leads are still useful. A customer who passed on a removal last spring might call in a storm this fall, and the property record from the visit is still there.
From Lead to Estimate to Job
The point of tracking leads is to get them to an estimate fast. Once the site visit is done, the estimate goes out with online approval, and automatic follow-up handles the customers who need a nudge. Approved estimates become jobs without anyone re-entering the details.
That chain is the backbone of TreeBossPro tree service software. The next article goes deeper into the estimate itself: online approval and automatic follow-up.
