Seasonal Route Planning for Tree Service Companies

Tree work has seasons, and they are not the same as most other trades. Winter can be prime time for removals and dormant pruning. Spring brings PHC treatments and a wave of estimate calls as people notice their trees again. Summer brings storms. Fall brings another round of pruning, PHC, and preparation for winter weather. Each season changes what your crews do and how routes should be built.

This article follows Using Reports to Review Tree Crew Routes and Workload and looks at route planning across the whole year. Details vary a lot by region and climate, so adapt it to your area.

Dormant Season: Removals and Pruning

In many regions, the dormant season is a good time for removals and much pruning work. Leaves are off, the structure is visible, and the ground may be frozen enough to support equipment in some areas. Climbing crews often stay busy with Removals and Trimming & Pruning jobs.

Routes in this season are shaped by bigger jobs and weather. Short days mean fewer working hours, so plan fewer stops per crew. Ice and snow can cancel days, so keep the board flexible and expect to move jobs.

The PHC tech may have a lighter season in winter, depending on your region and program. That can be a good time for dormant treatments where they apply, for cleaning up product and mix records, and for helping the estimator walk properties ahead of spring. It is also the time to make sure applicator license information is current before the busy season.

Winter is when the office should set up next year's recurring jobs and review property notes. Every gate code checked and every access note cleaned up now pays off in spring.

Spring: PHC and the Estimate Rush

As trees leaf out, PHC programs ramp up. Many treatments are tied to timing windows, so the PHC tech's route gets busy fast. Recurring PHC jobs set up the previous year come back on schedule, which makes the season predictable.

Spring is also when estimate calls spike. People see dead branches, storm damage from winter, or trees they want gone before summer. Give the estimator a tight route by area, and send estimates fast with online approval and automatic follow-up so approved work fills the crews' summer.

Summer: Storms and Steady Work

Summer brings thunderstorms and, in some regions, tropical weather. Storm & Emergency work can flood the board after a big event. Keep that category ready, triage calls, and slide planned work deliberately rather than losing it.

Between storms, summer is steady pruning, removals, and stump grinding. Long days allow more work per crew, and the stump grinder can catch up on the backlog from spring removals.

Fall: Programs and Preparation

Fall often brings another round of PHC treatments, along with pruning and hazard work as customers prepare for winter weather. It is also a good time to renew programs for next year. Customers who had a good experience are easy to keep, and recurring jobs make renewals simple to schedule.

Use fall to review the season. Reports show which crews and categories carried the year, and the route map shows where your customers are concentrated.

Plan Staffing Around the Seasons

Seasonal patterns should drive staffing. If spring PHC needs more stops than one tech can handle, train a second person before the season. If summer storms reliably overwhelm the climbing crews, plan for how storm work will be covered. Because you are never billed per user, adding seasonal staff to the crew app does not add software cost.

Use History to Plan Next Year

After a full year in software, you have a record of when each type of work peaked and how busy each crew was. Use it to plan the next year: when to push program sales, when to expect the estimate rush, and when to keep crews lighter for storms.

Seasonal planning is where tree crew dispatch and routing software pays off over the long run. Each season's routes get better because they are built on what actually happened last year.
