Choosing Tree Service Scheduling Software: Questions to Ask Before You Switch

There are plenty of scheduling tools out there, and almost all of them will let you put an appointment on a calendar. Far fewer are built for the way tree companies actually work, with jobs that range from a twenty-minute PHC visit to a two-day rigging removal. Before you switch, ask the questions that matter for tree service, so you do not end up paying for software your office tolerates and your crews ignore.

Start With Your Own Process

This series began with the complete guide and has worked through every part of the tree schedule, most recently Training a New Scheduler for Your Tree Service Office. Use what you have learned to write down how your company actually works before you look at any software: how calls come in, who does consults, how jobs get sized, how crews get their day and how customers get billed.

That list becomes your checklist. Software that fits your process is adopted; software that forces a new process on a busy company usually is not.

Does It Understand Tree Work?

Can property records hold the number of trees, trunk diameter (DBH) and tree height? Are there crew notes for access, gate codes and drop zones? Can clients have multiple properties, each with its own history? Are there job categories for removals, trimming and pruning, stump grinding, plant health care, storm and emergency work, and consults?

If you do PHC, ask about chemical tracking: products with EPA registration numbers, mixes, per-service application records with product, rate and amount, applicator license numbers and a report that pulls it all together.

Does It Handle Recurring Work and Follow-Ups?

Can you set pruning cycles and PHC programs as recurring jobs on the property? Do reminders go out automatically when work comes due? Can you create stump grinding follow-ups as separate jobs so they do not get lost inside removals? Do estimates have online approval and automatic follow-up?

Recurring work and follow-ups are where much of a tree company's steady income comes from. Software that treats every job as one-off leaves that money on the table.

Ask how the software handles a removal with a stump left behind, a tree that needs a climber and a property with three trees getting different work. If the answer is a free-text notes box for everything, you will be relying on memory again within a month.

What Do Crews and Customers Get?

Is there a crew app with each crew's job list, route, notes, gate codes, start and complete, photos and one-tap on-the-way and arrival alerts? Will your crews actually use it, or will it feel like paperwork on a phone?

On the customer side, look for automated texts and emails, two-way texting and a customer portal where customers can see visits, pay invoices, keep a card on file, choose their alerts and follow a live crew map on service day.

How Does Billing Work, and What Does It Cost?

Can you invoice from completed jobs, keep a card on file, auto-bill recurring work, take online payments and prepayments, and handle sales tax? Are there reports on completed work, estimates and billing?

Then look at pricing as you grow. Is it billed per user, so every new climber or office hire raises the bill? TreeBossPro plans are Start at $59/mo, Pro at $89/mo and Crew at $199/mo, never billed per user, with a 14-day free trial and no credit card required.

Ask your crew leaders to look at the crew app during the trial. They are the ones who will use it every day in the truck, often with gloves on and a customer waiting. If they say it is quick and gives them what they need, that matters more than any feature list.

How Hard Is Setup, and Can You Test It for Real?

Can you import customers by CSV, or will someone spend a week retyping? How long until crews are using the app on real jobs? Can you run your own work through it during the trial instead of a canned demo?

The best test is a real week of your own schedule: real removals, real pruning routes, real weather moves and real customer texts. If the software makes that week easier, you have your answer. See the full details on the tree service scheduling software page.
