Automatic Appointment Texts for Tree Service: Reminders, On-the-Way and Arrival

Tree customers ask questions no other trade quite gets. Do I need to move my car? Will you need the backyard gate open? Should I keep the dog inside? Is it going to be loud? When exactly are you coming? Answering those by phone eats hours of office time every week. Automatic texts answer most of them before anyone has to ask.

Communication Is Part of Scheduling

The previous guide, Recurring Pruning Cycles: Turning One-Time Tree Clients Into Scheduled Repeat Work, covered setting up recurring work. Those cycles rely on reminders to bring customers back, and the same messaging tools make every visit run smoother, recurring or not.

A schedule only works if the customer is ready when the crew arrives. A blocked driveway or a locked gate can cost an hour or the whole job. A text the day before is the cheapest insurance you can buy against both.

The Reminder Before the Visit

TreeBossPro sends automated texts and emails before scheduled jobs. Use the reminder to set expectations: the date, a time window if you give one, and anything the customer needs to do. Move vehicles out of the driveway or away from the work area, unlock the gate, keep pets inside, and give neighbors a heads up if the crew needs to work near the property line.

Keep it short and plain. A reminder that reads like a legal notice will not be read. Two or three sentences with the date and the key asks are enough. If a job has special instructions, put them in the crew notes and mention the most important one in the reminder.

Timing matters as much as wording. A reminder sent a week ahead is easy to forget; one sent the morning of the job may be too late for the customer to move a car or arrange for a dog sitter. Most tree companies find that a reminder the day before works best, with the on-the-way alert as the final nudge.

The On-the-Way Alert

When the crew heads to the next stop, one tap in the crew app sends the customer an on-the-way alert. For tree work this matters more than in most trades, because the customer often needs to move a car, open a gate or bring the dog in before a truck and chipper pull up.

The crew does not type anything or call the office. One tap and they are back to driving. The office does not field the call from a customer wondering whether the crew is still coming, because the customer already knows.

It also makes your company look organized. Customers compare tree services on more than price, and a crew that announces itself, shows up when it said it would and leaves the property clean stands out. The on-the-way alert is a small thing that sets that tone before anyone steps out of the truck.

The Arrival Alert

An arrival alert tells the customer the crew is there. If they are at work, they know the job has started. If they are home, they know to expect saws and a chipper, and to keep kids and pets clear of the work area.

Customers choose their alerts in the customer portal. Someone who does not want texts is not bothered, and someone who wants every update gets them. Letting customers choose means the alerts they do receive get attention instead of being ignored.

Two-Way Texting for Everything Else

Customers reply to texts. With two-way texting, those replies come back to the office, where someone can answer them. A customer asking whether they need to be home, whether the crew will haul the wood or whether they can move the date to next week can handle it by text without a phone call. The conversation stays tied to the customer record, so anyone in the office can see what was said.

On service day, the customer portal also shows a live crew map, so customers can watch the crew approach on their own instead of calling to ask.

Texts also help with the people around the job. If a customer replies that a neighbor's car will be in the shared driveway, or that the side gate is now padlocked, the office can add it to the crew notes before the crew leaves the yard.

Fewer Calls, Fewer Surprises

Automatic texts do not replace good service; they make room for it. The office spends its time on scheduling, estimates and sales instead of answering the same questions all day, and crews arrive to properties that are ready for them.

These same tools become even more important when the day goes sideways, which is the subject of the next guide on emergency calls. To see how messaging fits with the job board and crew app, visit the TreeBossPro scheduling software overview.
