From Approved Estimate to Dispatched Tree Crew in One Handoff
In a lot of tree companies, the estimate and the job live in different worlds. The estimator walks the property, writes a quote, and the customer says yes. Then someone in the office retypes it into a calendar, the crew gets a scrap of paper with an address, and half of what the estimator saw never makes it to the crew. The customer was promised that the rounds would be left by the fence and the hydrangeas protected. The crew had no idea.
Picking up from Job Photos From the Tree Crew App: Before, After, and Proof, this article covers the handoff from estimate to dispatch and how to make it one clean step.
Start the Estimate on the Property
The handoff starts at the estimate. In TreeBossPro, leads and estimates belong to a client and a property. When the estimator walks the job, the property record is where the details go: the number of trees, trunk diameter (DBH in inches), height in feet, access notes, gate codes, and the drop zone. Photos taken on site attach to the property too.
Because all of that sits on the property instead of in the estimator's notebook, the crew will see it later without anyone copying it over.
Online Approval and Follow-Up
The estimate goes to the customer, who can approve it online. No printing, signing, scanning, or waiting on a callback. If the customer does not respond, automatic follow-up reminds them, so estimates do not go cold just because the office got busy.
Once the customer approves, the work is ready to schedule. That is the moment the handoff begins, and it should happen the same day while the details are fresh.
Schedule It in the Right Category
An approved estimate becomes a job on the job board under the right category: Removals, Trimming & Pruning, Stump Grinding, Plant Health Care, Storm & Emergency, or Consults. If the estimate includes more than one kind of work, such as a removal and a stump grind, split them into separate jobs so each lands on the right crew's board.
The category tells the dispatcher which crew should take it and roughly how heavy the day will be. It also keeps reports clean later.
The best day for a new job depends on where it is and how big it is. Look at the route map to see when a crew is already working nearby, and check the tree details to see whether it is a short job or a full day. A big removal might need its own day. A small prune can slot into an existing route.
Offer the customer that day. Customers are usually happy to take a date when you explain you are already in their area. If the estimate included a stump grind, schedule it at the same time for a few days after the removal, so the customer hears one plan instead of two separate phone calls.
Make the Promises Visible to the Crew
Every estimate carries promises. Wood left in rounds or hauled away. Chips left for the garden or removed. Specific plants protected. A time of day the customer prefers. Those promises need to be in the crew notes on the property, where the crew lead will read them in the crew app before arriving.
A simple discipline helps: before scheduling, the office or estimator re-reads the estimate and makes sure every promise is reflected in the notes. That two-minute check prevents the most common customer complaint in tree work, which is "that is not what we agreed to."
Tell the Customer What Happens Next
Once the job is scheduled, the customer should know the date and what to expect. Automated texts and emails handle the confirmation, and the customer portal shows the upcoming visit. On service day, the crew sends one-tap on-the-way and arrival alerts, and the customer can watch the live crew map.
Customers choose which alerts they receive, so the ones who want every update get them and the ones who do not are left alone.
One Record From Lead to Paid
The real benefit of a clean handoff is that the job becomes one continuous record. The lead, the estimate, the approval, the scheduled job, the crew's notes and photos, the completion, the invoice, and the payment all tie back to the same client and property.
That continuity is what tree crew dispatch and routing software should give you. The estimator's knowledge reaches the crew, the customer gets what they were promised, and nobody retypes anything.
