From Approved Estimate to Scheduled Tree Job Without Dropping the Ball

Every tree company has estimates that were approved and then sat. The customer said yes, the estimator mentioned it in passing, and the job never quite made it onto the board. Weeks later the customer calls, annoyed, or quietly hires someone else. The gap between a yes and a scheduled date is where a surprising amount of tree work disappears.

The Handoff Most Companies Get Wrong

Earlier, Emergency Tree Calls: Fitting a Tree on a House Into an Already Full Day showed how to handle work that has to happen today. Most work is not like that. It starts with a consult and an estimate, and the handoff from estimate to schedule is the step most likely to break, because it usually crosses from one person to another: the estimator who sold it and the person who books it.

When that handoff lives in someone's head, it fails whenever that person is busy, sick or on a climb. When it lives in the system, it happens the same way every time.

Make Approval Easy for the Customer

TreeBossPro sends estimates the customer can approve online. That removes the most common delay of all: the customer meaning to call back and never getting around to it. They read the estimate on their phone, approve it in one step, and the office knows right away.

Automatic follow-up handles the customers who do not respond. A reminder a few days later brings the estimate back to the top of their inbox without the estimator chasing it. Customers often appreciate the nudge; they wanted the work done and simply forgot.

A clear estimate gets approved faster. Spell out which trees, what is being done to each, what cleanup is included and what happens to the wood. Confusion slows approval and creates arguments on job day.

Put the Crew Details on the Estimate

A good tree estimate does two jobs. It sells the work, and it tells the crew what to do. Record the number of trees, DBH and height on the property, describe the work on each tree, and note access issues, gate codes and drop zones. Add the photos from the site visit.

When those details live on the property and the estimate, the person scheduling does not have to call the estimator to find out how big the job is, which crew it needs or whether the chipper fits through the gate. The approved estimate already answers those questions.

Schedule Within a Day of Approval

Set a simple rule: approved estimates get a date within one business day. Even if the date is three weeks out, the customer hears back quickly with a real plan. That is when their trust is highest and when they are least likely to keep shopping around.

Use the job category and the size from the estimate to place it. A Removals job goes to a crew that handles removals, with room around it. A Trimming and Pruning job can be grouped with nearby work on the route map. A Plant Health Care job goes to a licensed applicator's route.

Large or complicated jobs deserve a quick conversation even when the estimate is clear. A two-minute call to confirm the date, the access plan and what happens to the wood heads off most of the problems that would otherwise surface with the crew standing in the driveway.

Book Everything That Follows at the Same Time

If the estimate includes stump grinding, create the grinding job when you schedule the removal. If you recommended a pruning cycle or plant health care program and the customer agreed, set it up as recurring work now. If you want a deposit on a large job, take a prepayment and it will be applied to the final invoice.

Approval is the best moment to lock in everything that follows. Every piece you book now is one less thing to remember later.

Close the Loop and Watch the Gap

Once the job has a date, the customer's automatic reminder takes care of the run-up. If they have questions, two-way texting keeps the answers on their record. On the day, the crew app sends on-the-way and arrival alerts.

Every so often, check how long approved estimates wait for a date. If that number creeps up, something in the handoff is slipping, usually because the scheduler is overloaded or estimates are missing the details needed to place them.

Once approved work is on the board, where it lands on the map matters just as much as when, which the next guide covers. The tools for the whole process, from estimate to scheduled job, are on the TreeBossPro tree service scheduling page.
