What Your Tree Crew Needs on Their Phone Before They Leave the Yard
The best schedule in the world does not help if the crew cannot see it. Plenty of tree companies still run the day off a printed sheet, a group text from the owner or a phone call before every stop. The crew mobile app puts the schedule, the job details and the customer alerts in the crew leader's pocket, and keeps them current when the office changes the plan.
The Schedule Has to Reach the Field
In Booking Tree Work by Phone: An Office Intake Checklist for Scheduling, the focus was on collecting good information on the first call. The crew app is where that information pays off, because it puts it in front of the people doing the work at the moment they need it.
Paper and phone calls fail in predictable ways. The printed sheet is out of date by 8 a.m. The owner forgets to mention the gate code. The crew leader calls the office from a customer's driveway to ask which side of the house the tree is on. Every one of those costs time the crew could have spent working.
The Job List and the Route
Each crew sees their own jobs for the day, in order, with the route. When the office moves a job onto or off a crew's day, the change shows up in the app. No more reading addresses over the phone, and no more crews driving to a job that was cancelled after they left the yard.
Because auto-routing sets the order in the office, the crew's sequence already makes sense. If something changes on site, the crew leader calls the office, the board gets updated, and the app follows.
Notes and Gate Codes at Every Stop
Before the crew pulls up, they can read the crew notes: access, gate codes, drop zones, parking, overhead lines, things to protect and anything else the estimator recorded. They see the number of trees, DBH and height. Nothing about the job lives only in the estimator's head.
That matters most when a crew is going somewhere none of them has been before, or when a newer crew member is leading the job. The notes that took the estimator five minutes to write save the crew twenty minutes of walking the property and guessing.
Encourage crews to add to the notes as well as read them. If the gate code changed, the dog is new or the drop zone did not work, the crew leader is the first to know. A short note from the field keeps the property record accurate for the next visit and saves the next crew from discovering the same thing again.
Start and Complete From the Field
Crews mark jobs started and completed in the app. The office sees progress across every crew without calling anyone. When a job is complete, invoicing can follow from the finished job the same day, so billing does not wait until someone finds the paperwork on the truck dashboard.
If a job cannot be finished, whether because of weather, access or a tree that turned out bigger than expected, a quick note explains why so the office can reschedule it before the end of the day.
Starting jobs in the app matters too. When the office can see that a crew has started a removal and roughly when, it can judge whether the afternoon stop is realistic and text that customer early if it is not, rather than finding out at 3 p.m.
Photos That Protect You
Photos taken in the crew app attach to the job and the property record. Before and after shots of the work area protect you in damage disputes about a cracked paver or a flattened shrub. Photos of the drop zone, access and anything unusual help the next crew. Photos of finished work show customers the quality of what they paid for.
One-Tap Customer Alerts
When the crew leaves for the next stop, one tap sends the customer an on-the-way alert. When they arrive, another tap sends the arrival alert. Customers know when to move their car or open the gate, and the office gets fewer calls asking where the crew is.
A crew app only works if crews actually use it, so keep it part of the routine from day one. TreeBossPro is never billed per user, so every crew leader and crew member who needs the app can have it. The next guide looks at the job categories crews see on every stop. See the full picture on the TreeBossPro tree scheduling software page.
