Using the Slow Season to Build a Stronger Tree Business

Every tree company has slower stretches. Depending on your region, it might be the depth of winter, a long dry summer, or the gap between storm seasons. Many owners spend those weeks worrying about cash. The best ones use them to build a stronger business. The slow season is when you have time to fix what was broken in the busy one. Here is how to use it.

Slow Is Not the Same as IdleFrom Owner-Operator to Manager: Getting Out of the Tree and Running the Business is about working on the business instead of in it. The slow season is the best chance to do exactly that. When the phone is quiet, you finally have time to think.

Also remember that slow does not have to mean empty. In many regions, dormant season pruning, removals with frozen ground for equipment access, and planning visits for spring can keep crews working.

Look at what customers need during your quiet months. Inspections ahead of the storm season, structural pruning while the leaves are off, and planning for spring projects can all be sold when the phone is quieter.

Review the Season That Just Ended Start by looking back. Pull up the reports. How much did you invoice? What was your mix by job category? Which kinds of work paid best? How many estimates did you win? What is still unpaid?

Then talk to your crew leaders. What slowed you down? What equipment failed? Which customers were trouble? Write down the three biggest lessons.

Compare what you estimated against what jobs actually took. If certain types of jobs consistently ran over, adjust your pricing before the next busy season, not during it.

Clean Up Your Records During the busy season, property records get rushed. Notes go missing, photos pile up, clients get duplicated. The slow season is the time to fix it. Merge duplicate clients. Fill in missing tree details: number of trees, DBH, and height on the trees you work most. Update crew notes for access, gate codes, and drop zones. Add tags to sort customers.

Clean records make every estimate faster and every job smoother next season.

If you have customers in a spreadsheet or an old system, the slow season is a good time to bring them over with a CSV import, so next season starts with everyone in one place.

Sell Recurring Work for Next Year Customers have time to think in the slow season, too. Reach out to past customers about pruning cycles and plant health care programs for the coming year. Send estimates for online approval and let automatic follow-up handle the reminders.

Once customers sign up, set up recurring jobs so visits land on the schedule automatically. Ask for a card on file or a prepayment for the season. Starting spring with work already booked is a huge advantage.

Start with your best customers, the ones who paid on time and appreciated the work. They are the most likely to say yes, and they are the customers you most want on a program.

Train and Develop Your People Busy seasons leave little time for training. Use the slow months to work on skills: climbing and rigging practice, equipment maintenance, customer communication, and crew leadership. Consider what training or certifications make sense for your crew, keeping in mind requirements vary by area and type of work.

Talk to each person about where they want to go. Groundies who want to climb, climbers who want to lead. Make a plan.

Service and repair equipment now, too. Saws, chippers, grinders, trucks, and climbing gear all benefit from a slow-season once-over, and a fix done in the quiet months does not cost you a crew day in the busy ones.

Plan Next Season Before It Starts Finally, look forward. Set goals for revenue, recurring customers, and new service lines. Decide whether you will add a crew, buy equipment, or hire office help. Fix your systems before the rush, not during it. If you have been thinking about switching software, this is the time.

Write the plan down and share the parts that matter with your crew leaders and office staff. A plan that lives only in your head is just a wish.
