Stump Grinding on Tree Quotes: Add-On Line Items That Get Approved
Almost every removal leaves a stump, and almost every customer has an opinion about it. Some want it gone below grade so they can plant over it. Some want it left as a seat or a planter. Some never thought about it until the crew packs up. If stump grinding is not on the estimate, you are either giving it away, losing it to another company, or having an awkward conversation in the driveway.
Make Stump Grinding a Separate Line
In Writing Tree Trimming Estimates With Line Items Customers Understand we covered why trimming work needs its own clear line items. Stump grinding is the same idea applied to the bottom of the tree.
Keep stump grinding off the removal line. Putting it on its own line does three things. It shows the customer the removal price without the stump, which matters when they are comparing quotes. It gives them a simple yes or no on the stump. And it tells the office this may be a separate visit, since many companies grind stumps with a different crew or a different machine than the removal crew.
Customers comparing quotes often do not realize that one company included the stump and another did not. A separate line makes that comparison fair, and it lets you point out what your price includes rather than looking more expensive for doing more.
Sizing the Stump
Most companies price stumps by diameter, measured across the widest part at ground level, including the root flare you plan to grind. Some use a per-inch rate, some use size bands, and some set a minimum charge for small stumps. The right structure depends on your equipment and market, but write it down so every estimator measures and prices the same way.
The trunk diameter you recorded for the removal is a useful starting point. TreeBossPro keeps DBH on the property, but remember that a stump at ground level is usually wider than the trunk at breast height, especially on species with big flares.
Depth, Surface Roots and Access
Note how deep the customer wants the stump ground. Below grade enough to cover with soil is different from deep enough to replant a tree in the same spot. Note whether surface roots need chasing, and how far.
Access matters for grinders too. A walk-behind grinder fits through gates a bigger machine cannot. Check gate widths, slopes, steps and anything fragile on the way. Also check for buried utilities, irrigation and anything else near the stump. Locate requirements vary by state, so follow your local rules before grinding, and note on the estimate who is responsible for marking private lines like sprinklers and landscape lighting.
Cleanup of Grindings
Grindings take up a lot more space than people expect. Decide on the estimate whether they will be hauled away, left in the hole, raked out and spread, or replaced with topsoil. Each option has a different cost.
Write it plainly: "Grind stump 8 inches below grade, rake grindings into hole, haul excess." The crew knows what to do, and the customer knows what they are getting. If they want topsoil or seed afterward, that is a separate line, or a referral.
Offering It at the Right Moment
The best time to sell stump grinding is on the removal estimate, while the customer is already picturing the yard without the tree. Show it as an add-on. Many customers who would hesitate at a separate quote later will approve it now with one click.
Explain what the yard will look like with and without grinding. A stump left at ground level still sends up sprouts on some species, gets in the way of planting and becomes a tripping hazard. A customer who understands that is far more likely to add the line. Keep the explanation short and practical rather than pushy, and let the option speak for itself.
For customers who decline, keep a note on the property. A tag like "stump left" makes it easy to find those customers later, for example when your grinder crew has a slow week and you want to offer stump work to past removal customers.
Scheduling Stump Work
Once the estimate is approved online, the stump grinding line can go on the schedule as its own job under Stump Grinding, separate from the removal. That lets you batch stump work by area and send the grinder crew on an efficient route, while the removal crew moves on. The route map and auto-routing help order the day when you have several stumps in the same part of town.
The crew app shows the grinder operator the job notes, gate codes and depth instructions. For how stump add-ons fit into the full estimate-to-job workflow, see the tree service estimating software overview.
