Quoting Plant Health Care Programs Alongside Tree Work

Many tree companies leave plant health care off their estimates because it feels like a different business. That is a missed opportunity. The estimator is already on the property, already looking at the trees, and often already seeing the signs of stress, pests or disease. A plant health care recommendation added to a pruning or removal estimate is one of the easiest ways to turn a one-time job into an ongoing relationship.

Why PHC Belongs on Tree Estimates

In Sales Tax, Terms and Fine Print on Tree Service Quotes we looked at the terms that belong on every quote. Plant health care adds a new kind of line to the estimate: one that recurs.

Trees that are pruned or have had neighbors removed often benefit from follow-up care. Customers who just spent money on their trees are often receptive to keeping the rest healthy. And PHC work tends to be recurring, which smooths your revenue across the year.

It also helps your crews. Plant health care visits are often lighter work that can fill gaps between larger jobs, or keep a technician busy in seasons when removal and pruning slow down. That makes it easier to keep good people working steadily.

Spotting PHC Needs on the Walk-Through

Train estimators to notice what they see while walking the property: thinning canopies, leaf discoloration, signs of borers, scale or other pests, root zone issues, and stress from construction or drought. Note what you see and take photos. Not every estimator is qualified to diagnose; if someone else in your company handles PHC, flag the property for a consult.

TreeBossPro has a Consults category, so a follow-up visit to assess tree health can sit on the schedule like any other job.

Quoting a Program, Not a Visit

Plant health care usually works best as a program: a set of treatments across a season or a year. Quote it as a program with each visit described: what is being treated, roughly when, and what the visit includes. A customer approving a program is committing to the whole season, which is easier for you to plan around.

Describe treatments in plain language. Customers do not need product names on the estimate to approve it, but they do need to know what problem is being addressed and what to expect.

Explain what the customer should expect to see, and when. Some treatments show results within a season, while others are about protecting a tree over several years. Setting realistic expectations on the estimate prevents disappointment later and keeps customers in the program long enough for it to work.

Scheduling Recurring PHC Visits

Once a program is approved, recurring jobs in TreeBossPro put each visit on the schedule automatically under Plant Health Care. Nobody has to remember to call the customer in spring. The jobs appear on the job board and the crew app at the right time, routed with other work in the area.

Recurring visits also make it easy to spot a customer who has dropped out of a program. If a scheduled visit is skipped or cancelled, the office can follow up and find out why, instead of discovering months later that the customer quietly moved on.

Customers get automated texts and emails before visits, and can see their visits and invoices in the customer portal.

Records and Customer Instructions

Pesticide and fertilizer applications come with record-keeping requirements that vary by state, so check your local rules and licensing requirements. TreeBossPro tracks chemicals for plant health care: products with EPA registration numbers, mixes, and per-service application records with product, rate and amount, along with applicator license numbers. The chemical tracking report pulls those records together when you need them.

Chemical instruction emails can go to customers after an application, telling them what was applied and any precautions to follow. That is good practice and it reassures customers who worry about treatments around children and pets.

Billing PHC Programs

Programs can be billed per visit or on another schedule that fits your company. Card on file and auto-billing make per-visit billing painless for the customer and for the office. Sales tax is applied according to the rules you set up, which matter here because treatments may be taxed differently from other tree services depending on your state.

Adding PHC to your estimates does not require a separate system or a separate sales pitch. It is one more line, offered at the right moment, by someone who has already earned the customer's trust. For more on how PHC fits into estimating, see the tree estimating software overview.
