The PHC Applicator's Day in the Crew Mobile App

The applicator is the person who makes a PHC program real. They are also the person with the least time for paperwork: a dozen stops, different mixes, customers to talk to and weather to watch. If recording an application takes more than a minute, it will not get done properly. The crew mobile app is built so the right thing is also the easy thing.

Before Leaving the Shop

Using Tree Counts, DBH and Height on Property Records to Price PHC showed how property data drives pricing. That same data rides along to the field. Before the truck leaves, the applicator opens the crew app and sees the day's job list in route order, built from the job board with auto-routing. Each stop shows the property, the round and the notes.

This is the time to check that the truck carries the right products for the day's mixes and that the applicator's license is current. The app cannot check the truck; a two-minute walk-around can.

A quick morning check also catches schedule problems early: a stop that needs a customer home, a property with a note about a new dog, or a round that needs a product the truck is not carrying. Fixing those at the shop is far faster than fixing them in the field.

On the Way

One tap sends the customer an on-the-way alert. For PHC this matters more than for many services: customers may want to bring in pets, close windows or move cars away from trees. A heads-up turns a surprise spray truck into a professional visit.

The route in the app keeps the day moving in order, and arrival alerts let the customer know when the crew is on site.

Applicators who use the on-the-way alert consistently report fewer surprises at the door. Customers who know you are coming have already let the dog in, unlocked the side gate or moved the car, which makes each stop faster.

At the Property

On arrival the applicator reads the crew notes: gate codes, pets, sensitive plantings, where to park, which trees are enrolled. Notes written by the last applicator save the next one from repeating mistakes.

Starting the job in the app marks it in progress. Photos of anything worth showing, like a pest problem or damaged bark, attach to the job and stay on the property record.

If something about the property has changed, like a new garden bed or a new fence, the applicator updates the notes before leaving. The next applicator benefits immediately.

Recording the Application

Before completing the job, the applicator records the application: the mix or product, the rate and the amount used. Products come from your list with EPA registration numbers already attached, and the applicator's license number is stored, so the record is complete without retyping.

Make it a rule: no complete without a record. It is the single most important habit in a PHC crew.

Recording right after the application, before walking back to the truck, is the habit to build. Records made in the moment are more accurate, and the applicator does not face a stack of entries at the end of the day.

Completing and Moving On

Marking the job complete updates the office, can trigger the customer communication you set up, and moves the applicator to the next stop. The chemical instruction email goes to the customer, and if they are on auto-billing, the card on file can be charged for the completed round.

At the end of the day, the office can review the records while they are fresh, catching any missing amounts or notes.

Some managers do a short end-of-day huddle, in person or by phone, to go over anything unusual: a customer concern, a property that needs a follow-up, a product running low. The records cover the facts; the huddle covers the judgment.

Why Crews Actually Use It

Crews use software that saves them time. Gate codes and notes in their hand mean fewer phone calls. Route order means less backtracking. Quick application recording means no paperwork at the end of the day. TreeBossPro is never billed per user, so every applicator and helper can have the app.

The crew app is where plant health care software meets the field. Next: the texts and emails customers get before and after a PHC visit.

When an applicator does run into trouble in the field, like a product question or a customer concern, they can still call the office. The difference is that those calls are about real exceptions, not about gate codes and addresses.
