Why Tree Quotes Get Lost and How to Win Them Back

Every tree company has a drawer, a folder or a list full of quotes that never turned into work. It is tempting to write them off as price shoppers. Some were. But many of those customers still have the tree, still need the work and simply never got around to saying yes. Understanding why quotes get lost helps you lose fewer, and a little effort can bring a surprising number of old ones back.

The Quiet Pile of Lost Quotes

In Texting and Emailing Customers About Their Tree Estimate we covered how to communicate around an estimate by text and email. Even with good communication, some quotes slip away. This article looks at why, and what to do about the ones already sitting in the pile.

The first step is admitting the pile exists. Pull a list of estimates from the past season that were never approved. Look at how many there are and what they were worth. For most companies, the total is large enough to take seriously.

Reason One: Too Slow

The most common reason quotes are lost is time. The estimate arrived days after the visit, and by then another company had already been approved. Customers rarely say "you were too slow." They just stop answering.

The fix is speed: estimates sent from the driveway or the same day, with online approval so the customer can act right away. If your reports show that faster estimates close better, that is the clearest signal you will ever get.

Reason Two: Unclear or All-or-Nothing

A quote with a single lump price and a vague description makes customers nervous. They do not know what is included, they cannot compare it with other quotes, and they cannot approve only part of it. When in doubt, many people do nothing.

Line items, specific descriptions and options fix this. A customer who can approve the removal and skip the stump grinding, or choose leaving the wood over full haul-away, has a way to say yes that fits their budget. Earlier articles in this series cover line items, cleanup choices and good, better, best options in detail.

Reason Three: Nobody Followed Up

Plenty of customers meant to approve and simply forgot. Without follow-up, those quotes die quietly. Manual follow-up is the first thing to slip in a busy season, which is exactly when the most quotes are out.

Automatic follow-up in TreeBossPro sends reminders on estimates that sit unanswered. Every quote gets the same treatment without anyone keeping a list. For larger jobs or customers who had specific concerns, add a personal text or call from the estimator.

Reason Four: Timing and Budget

Some customers say no, or say nothing, because the timing is wrong. They are waiting until after the holidays, after a big expense, or until the leaves are off the tree so they can see it. These customers are not lost; they are early.

Note the reason when you hear it. A tag on the property, like "revisit in spring," makes it easy to find these customers later. When their timing comes around, a friendly message referring to the original estimate often gets an immediate yes.

Winning Old Quotes Back

Once a season, go through unapproved estimates that are still relevant. Sort them by value and by type of work. Reach out with a short, personal message: you were in the area, the schedule has an opening, or the season is right for the work. Offer to update the estimate if anything has changed.

Two-way texting keeps those conversations in one place, and if the customer is ready, a refreshed estimate with online approval turns the conversation into a job without a second visit. Property records with tree counts, DBH, heights and photos mean you often do not need to go back out to re-quote.

Be respectful. If a customer says they hired someone else or no longer need the work, thank them and close the estimate out. A gracious reply leaves the door open for the next time.

Making the Pile Smaller Next Season

The real goal is a smaller pile next year. Look at which kinds of quotes were most often lost. If small trimming jobs rarely close, review your minimum and descriptions. If large removals stall, consider offering phases or a prepayment that holds a date. If certain estimators have more unanswered quotes, look at their speed and follow-up.

Lost quotes are not just lost revenue. They are free feedback about how customers see your estimates. For how faster estimates, clear line items and automatic follow-up work together, visit the tree service estimating software page.
