Customer Communication for Arborists: Texts, Emails and Alerts That Build Trust

Most client complaints in tree care are not about the work. They are about surprises: a crew arriving unannounced, a visit nobody confirmed, a treatment the client did not know had happened. Arborists who communicate well have fewer of those moments and more clients who stay for years.

Applicator License Numbers and Product Records: Keeping Arborist PHC Organized dealt with the compliance side of PHC. This article is about the human side of every visit: keeping clients informed.

Communication Is Part of the Service

When a client hires an arborist, they are buying expertise and reassurance. They want to know their trees are in good hands. Regular, timely communication is a big part of that reassurance. It also reduces the calls your office fields: a client who got a text yesterday saying the crew is coming tomorrow does not need to call and ask.

Communication also protects the relationship when things do not go to plan. Weather cancels a climb, a crew runs long at the previous property, a product delivery is late. A client who hears about the delay from you, promptly and plainly, is far more forgiving than one who waited all day and found out by calling.

Before the Visit

Automated texts and emails let clients know when a visit is coming up. For recurring work like pruning cycles and PHC, that reminder is often the first time the client has thought about their trees in months. Keep it clear: what is happening, when, and whether they need to do anything, such as unlocking a gate or moving cars from the driveway.

For larger jobs, such as a crown reduction on a big tree or a removal near the house, consider a slightly longer message the day before: where the crew will set up, whether the driveway needs to be clear, roughly how long the work will take. Clients who know what to expect are calmer on the day and less likely to interrupt the crew with questions.

On the Day

The crew mobile app has one-tap on-the-way and arrival alerts. The crew leader taps once and the client knows the crew is coming or has arrived. No typing, no personal phone numbers. On service day, clients can also watch a live crew map in their customer app, which is especially reassuring for clients who want to be home or who need to let the crew in.

It also keeps crews safer and more focused. A crew leader who is not juggling texts while driving or setting up rigging is paying attention to the job.

After the Visit, On the Client's Terms

Close the loop. A message after the work is done confirms what happened. For PHC visits, chemical instruction emails tell the client what was applied and any precautions. Invoices can be sent and paid online. If the crew noticed something new, a follow-up from the arborist with a recommendation keeps the relationship moving forward.

Not every client wants every message. The client app lets customers choose their alert preferences, so the client who wants a text for everything gets one, and the client who prefers minimal contact is not bothered. Respecting preferences is part of good communication; a client who feels spammed starts ignoring messages, including the important ones.

For commercial clients and property managers, think about who should receive which messages. The person who approves estimates may not be the person who needs to know the crew is arriving. Clear contacts on the client record help messages reach the right people.

Keep the Tone Professional

Automated messages should sound like your practice. Write them in plain language, use the client's name, and keep them short. Avoid hype. An arborist's credibility comes from calm, factual advice, and your messages should carry that tone. Messages that sound like marketing make clients wonder whether your recommendations are marketing too.

Review your message templates once a season. Read them as a client would. Are they clear? Do they still describe how your practice works? Small edits keep them current and keep your communication sounding like a person rather than a system.

Two-Way Conversation

Communication is not only outbound. Clients reply to reminders with questions, rescheduling requests or concerns about a tree. Two-way texting brings those replies into TreeBossPro next to the client record, so whoever is in the office can answer with the property notes and history in front of them. That keeps conversations off personal phones and on the record.

Good communication costs very little once it is automated, and it is one of the reasons clients stay with a practice for years. It is part of what arborist software should handle so you do not have to.
