From Approved Tree Estimate to Scheduled Job in One Step

The moment a customer approves an estimate feels like the finish line. It is not. Plenty of approved tree jobs get lost between the yes and the schedule: the approval came in by text, someone meant to write it on the board, the details got retyped wrong, and the crew showed up expecting a trim when the customer had bought a removal. The handoff from sale to schedule deserves as much care as the estimate itself.

The Gap Between Yes and the Schedule

In Automatic Follow-Up on Tree Estimates That Sit Unanswered we made sure no estimate sits unanswered. Now we make sure no approved estimate sits unscheduled.

In many tree companies the estimator sells and the office schedules, or the owner does both at different times of day. Every time information is copied from one place to another, something can change. Prices get rounded, line items get dropped, notes about the drop zone never make it to the crew. The fewer times the job is retyped, the fewer mistakes reach the customer's yard.

Delays matter too. A customer who approved on Monday and hears nothing until the following week starts to wonder whether you are still interested. A quick confirmation and a scheduled date right after approval keep the momentum you worked to build during the walk-through.

One Record From Estimate to Invoice

In TreeBossPro the approved estimate becomes the job. The line items the customer approved are the line items on the job, and they become the invoice when the work is done. The property record, with its tree count, DBH, heights, crew notes, gate codes and drop zones, is already attached.

That means the estimator's work is not wasted. Everything learned on the walk-through travels with the job, and nobody has to remember it or type it again.

Choosing the Right Job Category

Put each job in the category that matches the work: Removals, Trimming and Pruning, Stump Grinding, Plant Health Care, Storm and Emergency, or Consults. Categories keep the job board readable and make your reports meaningful later.

If one estimate covers more than one kind of work, consider splitting it into separate jobs. A removal and a stump grinding visit often happen on different days with different equipment. Keeping them separate lets each crew see only what they need, and lets you route the grinder efficiently instead of tying it to the removal crew's day.

Placing the Job on the Board

Look at the job board and the scheduled list to see what each crew already has. Big removals need a full day and the right crew. Small trimming jobs can fill gaps. The route map shows where jobs sit geographically, and auto-routing can put the day in a sensible driving order.

If the customer has a deadline, such as a fence install or a roof replacement, note it on the job and schedule around it. If the job depends on dry ground or calm weather, note that too, so whoever builds the schedule knows it may need to move.

Keep a short list of approved but unscheduled jobs in view. In busy seasons, approved work can stack up faster than crews can get to it, and the oldest approvals deserve attention before they turn into cancellations. Giving those customers a realistic date, even if it is a few weeks out, is better than silence.

Prepayment Before Scheduling

For large jobs and new customers, many companies take a prepayment before booking the crew. TreeBossPro records prepayments against the client and applies them when the job is invoiced, so the deposit is not forgotten at billing time. Ask for it right after approval while the customer is engaged, and schedule once it is in. A later article in this series covers prepayments in more detail.

Telling the Customer and the Crew

Once the job is scheduled, let the customer know. Automated texts and emails confirm the visit, and on the day, the crew can send a one-tap on-the-way alert from the crew app. Customers using the customer portal can see their visits and, on service day, the live crew map.

The crew sees the job on the crew app with the route, notes, gate codes and the approved line items. They can take photos, start and complete the job, and the office sees progress without calling. When the job is complete, it is ready to invoice from the same record that started as an estimate. To see the whole path from lead to paid invoice, visit the TreeBossPro estimating software page.
